Health & Safety Policy — Gardening Services Gipsy Hill
Gardening Services Gipsy Hill is committed to protecting the health, safety and wellbeing of employees, clients, visitors and members of the public. This policy sets out the principles and procedures that govern safe working for our gardening company and associated subcontractors. The policy applies to all operations, including grounds maintenance, soft landscaping, hedge and tree work, and seasonal site management across our service area.
Our objective is to prevent injury and ill health and to promote safe, sustainable working practices.
Policy statement
We will comply with relevant health and safety standards, maintain safe systems of work and ensure that risks are assessed and controlled. Responsibilities are allocated and understood at every level of the organisation. We will provide appropriate resources to implement safe working arrangements, including training, equipment and supervision.
Prevention of harm is central to our approach and will be monitored through regular audits and reviews.

Responsibilities
The following roles are responsible for implementing this policy:
- Management: set standards, allocate resources and ensure compliance.
- Supervisors: ensure safe working practices on site and provide direct oversight.
- Operatives and staff: follow procedures, attend training and report hazards.
- Contractors: must adhere to this policy when working on behalf of the company.
Each person is expected to contribute to safety by reporting unsafe conditions and cooperating with investigations.
Risk assessment and control measures
All garden, landscaping and maintenance tasks are subject to a formal risk assessment prior to commencement. Control measures follow the hierarchy of elimination, substitution, engineering controls, administrative actions and personal protective equipment (PPE). Control measures include safe exclusion zones during machinery use, secure storage of tools and fuel, clear segregation of pedestrian routes, and weather-related work limits.
Regular review of risk assessments will take place when work conditions change or when new equipment is introduced.

Equipment, tools and hazardous substances
Tools and machinery are maintained, inspected and documented to ensure safe operation. Chainsaws, brushcutters, ride-on mowers and other powered equipment require specific operating checks, guarding and certified maintenance records. Use of pesticides, fertilisers, oils and solvents will follow safe handling procedures and COSHH-style controls; materials will be stored in labelled, lockable containers and disposed of responsibly. Operators must use appropriate PPE, including eye, ear, hand and respiratory protection where necessary.
Training and competence
We will ensure staff are competent for the tasks they perform through induction, on-the-job training and certification where required. Training covers manual handling, machinery operation, tree and ladder safety, use of PPE, emergency procedures and safe use of chemicals. Records of qualifications and refresher training are maintained, and performance is reviewed during supervision and toolbox talks.
Competence is validated before delegating hazardous tasks.
Operational procedures
Standard operating procedures are in place for common activities such as mowing, hedge cutting, pruning, waste handling and planting. Specific controls include:
- Establishing exclusion zones and signage during operations.
- Safe vehicle and plant access to avoid impact on pedestrian areas.
- Working at height controls and ladder inspection routines.
- Lone-working protocols and scheduled check-ins for remote sites.
These procedures aim to reduce exposure to foreseeable hazards during routine and non-routine tasks.

Incident reporting and monitoring
All incidents, near misses and dangerous occurrences must be reported promptly and recorded. Investigations seek root causes and corrective actions to prevent recurrence. Monitoring includes site inspections, equipment checks and review of incident trends. Health surveillance is implemented where exposures could affect worker health. Records are retained in line with operational requirements to support continuous improvement.

Review, consultation and continuous improvement
This policy is reviewed at least annually or whenever there are significant changes to operations, equipment or legislation. Employees and contractors are consulted on health and safety matters and encouraged to suggest improvements through formal and informal channels. Management commits to allocating resources to resolve identified risks, update training and adopt safer technologies.
Gardening Services Gipsy Hill will publish updates internally and ensure that the policy remains a living document that reflects the realities of site work and seasonal changes.
Commitment
We are committed to a positive safety culture where everyone takes responsibility for their actions and the wellbeing of others. This policy provides the framework for safe, effective gardening and grounds maintenance across our service area. By following the controls and procedures contained here, staff and contractors help ensure that gardening operations are carried out with the highest regard for health and safety.
